The chairman opened the meeting by greeting everyone.

A minute’s silence was then held.

Minutes of last year’s AGM:

The minutes of the last meeting were read and passed proposed Mr D Clarke, seconded Mr K Penny.

Matters arising:

Mr A Eddie had suggested that the match between the Federation and the Civil Service should be spread around more and will be played in Yorkshire as well as the midlands and the north.

The 60+ pairs competition were sponsored by Mr D Clarke and family.

Chairman’s report:

Things have gone very well in the Federation and he wished to thank the various officers who had attended and run the various events. He mentioned that the Federation had been formed in October in Oldham 2000 and the coming year will be the 10th anniversary. It had started with 16 Associations and had almost doubled at the present day, with many thanks to everyone.

League coordinator:

It had been a good year again with everyone sending in their results to him. There were however   one or two cases where he was receiving only one set of results for a match instead of results for both home and away from both teams. Warrington have confirmed that they cannot fulfil any fixtures and the fixtures have been done for next year excluding them and Mon Menai who have paid no fees nor fulfilled any fixtures.

Events for 2010 are:

18 April –Ladies Merit at Harehill Park, Rochdale.

25 April – National League 1st round.

23rd May – National league 2nd round

27th June – National league 3rd round

2nd July – Federation v Civil Service. Grange Bowling Club, Warrington.

Please let David Kay know names of any player wishing to play.

27th July – National league 4th round.

1st August – Junior/Youth Merit @ Rowlee Park Blackburn.

13th August – 60+ Merit at Owley wood.

22nd August – National league 5th round.

3rd September – Pairs comp at Fox Lane

5th September – 60+ Supreme Championship, East Lancs Cricket & Bowling Club

12th September – Team K.O. in the same format as at Bolton, to be held at Leeds but starting earlier to finish earlier.

Saturday 18th September – Individual Merit at Fleetwood Bowling Club

Sunday 19th September – Champion of Champions at Fleetwood.

Mr Clarke stated that his family would again sponsor the 60+ pairs.

Mr Kay advised that he has not counter-signed enough CRVs in the past year so he advised people to contact their County Associations but if they were still having problems then they should ring the B.C.G.B.A.  C.P.O. The new CRV forms would not be available until April.

Press:

He thanked everyone for sending him reports he could include in the 1,000 words he is allowed in his Federation piece in Bowlers World. He thanked Brian Hampson for allowing him such a large piece.

He informed the meeting that a new magazine entitled Crown Green Bowler was due to come out, the first issue being expected in December.

Could we please let him have reports and photographs early in each month as he has very little time in which to write his articles and get them to press on time. Could everyone please use full first names, not just initials.

Another point he wished to make was that at our events could it be ensured that someone knew who to approach regarding the whereabouts of jacks, valuable time was lost trying to locate them when we need them for the event.

Juniors / Youths:

We had another good season. Although fixtures were produced Associations did not always arrive with enough players. He arranged for Associations to play every one else, first with three players per team then with four in a team but no player playing twice. Mr Howarth brought with him forms for Representatives to take then return if their Association is interested in playing in the Junior/Youth league.

He moved a vote of thanks to the officers of the Federation for the work they put into the organisation.

Balance sheet:

The Financial Director took the meeting through the balance sheet explaining where items were down on 2008 i.e. Merits. Unfortunately all our Merits were down in entries. The 60+ Merit had been lowered from 64 entries down to its original 32. The year book sales had been down because this year we did not have any coloured photographs in the centre pages.

He explained to the meeting that it was now a rule of the B.C.G.B.A. that organisations like ours had to pay insurance for all its members, in our case Affiliates, even though they had already paid for their own Public Liability insurance.

He pointed out that in 2008 although a cheque had been sent it had never been received and this accounted for the anomaly. In fact had this cheque been received we would not have had an underspend in 2008 but an overspend (loss). As sponsorship was down in 2009 we have done very well to finish with an underspend (profit).

The balance was accepted by the meeting, proposed Mr M Demain, seconded Mr H Crompton.

Sponsorship:

Mr D Kay informed the meeting that he knew a company in Ormskirk similar to Rigby Taylor who had given us £250 last season. He hoped they would again sponsor us to £250 next year. Hotters have not pulled out completely but again they will give vouchers, not money. Although we are still waiting to hear from Dennis Mowers we must remember companies have been going through a bad time.

To try to offset the loss in sponsorship Mr Kay, Mr Booth and Mr P Moon have been contacting companies with the intention of getting them to take tiles on our website. This used our website doubly, not only to advertise the Federation but as sponsorship if companies took tiles, which would link to their own websites. It was important therefore that our Associations used these links as often as possible to help us keep the companies involved with the Federation.

Notices of Motion:

The notice from Doncaster re no practice at matches was defeated by 12 votes to 9.

The notice re rule L where one team cannot fulfil one half of a fixture i.e. either home or away, was accepted.

A letter from Doncaster dealing with a complaint during the Ladies Merit had been dealt with at the Board Meeting agreeing that the complaint had been dealt with on the day. However the point also raised re. Referees on each green at events was agreed by the meeting that due to the shortage of referees this was not always possible.

Election of officers:

Mr D Kay did not wish to continue as vice chairman and Miss P Hull proposed Mr K Penny for this position, seconded Mr H Crompton, all agreed. The rest of the officers were voted unanimously en bloc to continue. The only member of the Board to resign was Mr P Wilson and Mrs J Hill was elected as Board Member.

The chairman closed the meeting and after a short break the presentation of prizes took place.
